Bundles, customers and rental calendar¶
Me → tap your store open, and among the big tiles (inbox, inventory, ledger) you'll find a few small tools: Bundles (one-tap into a deal), Customers and Vehicles / staff (schedulable). This page covers those, plus the All deals list hiding behind Today and the ledger, the Drafts box behind Record a deal, and two pages that exist only as an address with no button leading to them (Rental calendar and Tasks · hand out the work).
The live order of the tiles: Self-order inbox → (repair / PC build / cleaning stores get their own ticket tiles here) → Inventory / Services → Bundles (one-tap into a deal) → Reports → Storefront analytics → Ledger → Customers → Invoices → My reviews → Store helpers → Job assignment (dispatch to helpers) → Vehicles / staff (schedulable) → AI settings.
Bundles: pack your regulars together¶
Two ways in: the "Bundles (one-tap into a deal)" tile, or the "Bundles (pack your regulars together)" button at the top of Inventory / Services. The page is titled "Bundles" and explains itself: "Pack your regulars under one name. Pick it when recording a deal — it expands into lines you can still tweak."
New bundle:
- Bundle name (e.g. "e.g. End-of-lease full pack"), Icon (up to 4 characters), Note (optional) (e.g. "e.g. cleaning + carpet + light move").
- "Bundle includes" — one row per line: a kind (Service / Sell product / Rent out / Buy second-hand (pay customer) / Use own stock (cost)), the item name (placeholder "Item name, e.g. end-of-lease clean"), Qty (0.5 is fine) and Unit price (AUD); "+ Add item" adds a row.
- "Bundle total (adjustable per deal)" updates as you type; "Buy second-hand" and "Use own stock" count as negatives.
- Tap "Save this bundle" → "Bundle saved ✓". Without a name you get "Enter a bundle name".
For example an "End-of-lease full pack": Service · end-of-lease clean 1 × $200, Service · carpet clean 1 × $80, Service · light move 1 × $120, about $400 in total.
Loading it into a deal: step ② "Items" of Record a deal gets a dropdown at the top, "Bundle (one tap to load, still editable)" (placeholder "— Pick a bundle to load fast —"). Pick one and its rows are appended to "This deal includes" — rows you've already typed stay, so you can load two bundles in a row; every line can still have its quantity or price changed, or be removed.
A saved bundle can't be edited — delete and rebuild
Each entry in "My bundles" shows only the name, "~ $total" and a "Delete" button; tapping it does not open an editor. The prompt is "Delete “X”? (Recorded deals are unaffected)" → "Deleted". To change what's in it, create a new one. The items inside a bundle are plain text, not linked to your inventory — change a price in Inventory and the bundle doesn't follow.
Customers¶
The "Customers" tile. Its line: "Customers from deals and self-orders are gathered here automatically."
- "🔍 Search name / WeChat / phone" at the top filters as you type; no hits shows "No matching customers", an empty store shows "No customers yet".
- Each row: name ("Unnamed" if blank), contact ("No contact" if blank), source and date. Four sources: Manual / Self-order / Deal / Review — people who left you a review land here too.
- "+ Add customer" at the bottom: Name / how to address (e.g. "e.g. Ms Wang / Old Chen"), WeChat / phone (optional), "Save" → "Added ✓"; without a name you get "Enter a name".
View and add only
Rows don't open: you can't edit a name or contact, can't delete, and can't start a deal from here. If a name is wrong, just type it correctly in "Customer name" next time you record a deal.
All deals: one row per deal¶
The ledger shows money entry by entry; "All deals" shows one row per deal. Three ways in:
| From | What you see |
|---|---|
| "View all deals ›" under the "Recent deals" card on Today | This store's deals |
| "All deals (by deal) ›" at the top of this store's Ledger | This store's deals |
| "All deals (by deal) ›" on the bottom-bar Ledger (all-stores view) | Every store you own, with an extra "Store" column |
It loads the latest 200 deals at most.
- Search: "Search customer/item/note/#id" (the all-stores view also matches store names).
- Three filters: All / Unscheduled (shown as "Unscheduled (N)" when there are any) / On rent / out.
- Each row: kind tag (Rent / Sale / Service), customer ("Walk-in" if blank), item name, "#id · date · status", plus "deposit $xx" when one was taken. An unpaid deal carries a yellow "Open (not paid)" tag; one that should be on the calendar but isn't carries "Not scheduled — tap to add a booking".
- Tap a row to open its "Deal recorded" page: the details on top, "Record another" and "Edit this deal" underneath, and for deals not yet on the calendar a collapsible "Add to calendar — for jobs needing a visit/delivery".
What counts as unscheduled
All three must hold: not on the calendar, kind is Service, and status is not Returned / Open (not paid) / Cancelled. Rentals and sales are never flagged — they don't necessarily involve a visit.
On a computer (wide screen) the page is a sortable table: Date / Deal / Kind / Customer / Item / Amount / Deposit / Method / Status (plus "Store" in the all-stores view), with unscheduled rows tinted yellow; the header gains an "Export CSV (current filter)" button that downloads huanhuan_deals.csv. There is no export button on a phone.
Open (unpaid) deals: record now, transact later¶
Step ③ of Record a deal has a tick box "Not paid yet (save as an open sale)", explained as "An open sale is not posted to the ledger. Mark it transacted from the sale once you are paid." Good for work-first-pay-later and monthly-account customers.
When the money arrives, open the deal ("Edit ›" on the right of each row in Today's "Recent deals", or tap a row in All deals and then "Edit this deal") to reach "Edit deal #id":
- An open deal: the lines under "This deal includes" can still be edited directly; the status box is a fixed yellow "Open (not paid)" tag you can't change. At the bottom is "Transaction done (post to ledger)", with the note "Uses the saved items. If you just changed them, save first." Confirm "Mark $xx as transacted and post it to the ledger? Items and prices cannot be changed afterwards." → "Transaction recorded ✓".
- A recorded deal: items and prices are locked and only listed, with "This sale is recorded, so its items and prices can no longer change. To correct a mistake, reopen it first." Tap "Reopen to correct", confirm "Reopen this sale? It is taken out of the ledger and becomes open again; mark it transacted again once corrected. Deposit records are left as they are." → "Reopened. You can edit it now." Fix it, then transact once more.
- The status dropdown has just three options: Completed / On rent / not returned / Returned. When a rented item comes back use "Mark returned (refund deposit)" (confirm "Confirm this deal has been returned? You can refund the deposit." → "Marked as returned ✓").
- Customer, payment method, deposit, due date and note save with "Save" → "Updated ✓". The red "Delete deal" at the very bottom takes the ledger entries and review invite with it — see Ledger and invoices.
Drafts¶
In the "Say it, we'll record it" card on Record a deal, tap "Save for later, driving now" and the text goes into Drafts ("Draft saved ✓"; an empty box gets "Say something first, then save"). While you have drafts, a line appears under the card: "N draft(s) waiting to be organized ›" — the only way into Drafts, and it's hidden when there are none.
The Drafts page says "Quick-saved on the go — tidy them up here later." Each entry shows the original text and when it was saved, with a single bin icon on the right: "Delete this draft?" → "Deleted".
A draft doesn't turn into a deal by itself
Drafts can only be read and deleted — there is no "turn into a deal" button. "Tidying up" means copying the text back into "Say it, we'll record it", tapping "AI: turn into a deal", checking and saving, then coming back to delete the draft.
Rental calendar¶
No button leads here — type the address
The page is live, but nothing on the Me tiles, bottom bar, desktop side nav or Today links to it. The address is app.huanhuan.com.au/org/STORE-ID/calendar, where STORE-ID is the number after /org/ in the address of your Ledger or Inventory page. Bookmark it once you're in.
Titled "Rental calendar", subtitle "Which dates, which customer, which machine — see it at a glance."
- "‹ Prev", "M/YYYY", "Next ›" move between months; weeks start on Monday (Mon … Sun) and today has a red outline.
- Days with something on rent are tinted and marked "●N"; the legend reads "● number = machines on rent that day".
- Below it, "This month (N)": status tag, item name, customer · status, and "Edit ›" on the right into the edit page; an empty month shows "No rentals this month". "← Back to today" at the bottom.
- The status tags (在租中 / 已逾期 / 已还 — on rent / overdue / returned) come from the server in Chinese and stay in Chinese on the English and Spanish interface.
Fill in the due date when recording a rental — Today's "Renting / to collect" card, the "Contact N customers today" reminder and the "On rent / out" filter in All deals all rely on it; the calendar just adds a whole-month view.
Vehicles / staff (schedulable)¶
The "Vehicles / staff (schedulable)" tile, subtitle "Assign a job to a vehicle or staff member when scheduling." Whatever you add here becomes the options in the "Assign to" dropdown when reviewing or scheduling a job — see Orders and reviewing.
- "Add resource": Name (e.g. "e.g. Van A / John (staff)"), Type (Vehicle / Staff / Other), Icon (optional, up to 4 characters), then "Add" → "Added"; without a name you get "Enter a name".
- Each entry can "Change photo" ("Images only, ≤12MB"); edit the name right in its box — it saves the moment you tap elsewhere, there's no save button.
- "Deactivate": confirm "Deactivate "X"? It won't appear when scheduling." → "Deactivated". A deactivated resource disappears from this page and there's no way to bring it back here; if a van got a new name, rename it rather than deactivating.
With nothing added the page shows "No resources yet", and "Assign to" offers only "Default (first available)".
Tasks · hand out the work¶
No way in either
Address: app.huanhuan.com.au/org/STORE-ID/tasks. The "Active tasks" number on Today counts what's here, but that number isn't clickable.
The page says "Who did it, what it's worth, how it splits — in black and white. Amount optional (mate mode — just log the job)." It is a notebook:
- "Assign a job": What to do (e.g. "e.g. Deliver MacBook to Jenny in City"), Who does it (name is fine) (e.g. "e.g. Tom"), Worth how much (optional), Split agreement (optional) (e.g. "e.g. Tom takes $40 / 50-50"), then "Assign" → "Assigned ✓"; without "What to do" you get "Add a task". Assigning several in a row keeps the last name in "Who does it".
- "Who did how much (reconcile here)" totals per person: name, "N jobs · N done", amount.
- "All tasks", one row each: status, title, who ("Unassigned" if blank) · amount · split; a dropdown on the right changes the status: Open / In progress / Done / Settled. "Back to today" at the bottom.
This is not Job assignment
"Who does it" here is just a name: no account, no notification, nothing in the ledger, nothing on the schedule, and the person doesn't need a HuanHuan account. To properly hand a job to a helper with an account, set their pay and mark it paid, use the "Job assignment (dispatch to helpers)" tile — see Dispatch overview.
